What does stock synchronization between an ERP and an online store involve?
The ERP system, for example Subiekt GT, holds the authoritative stock figures. The integration reads the available quantity from it and writes it to the store. It also passes store orders to the ERP, where they reduce stock or create a reservation. The store, Allegro and in-person sales then all work from the same numbers.
How often should stock be synchronized?
Stock can be sent on a schedule, for example every few minutes, or after each change in the warehouse. The more sales channels you have and the smaller your inventory, the shorter the interval should be. The limit is set by how the integration works and how fast both systems are.
Why does stock in the store differ from stock in Subiekt?
- reservations: the store shows total stock instead of available stock, or the other way round
- several warehouses: the integration adds up or skips a warehouse differently from what sales expect
- orders that never reached the ERP and so did not reduce stock
- products or variants not linked to a product record
- manual stock corrections made in the store admin panel
- a synchronization cut short by an error, a backup or a computer that was switched off
- sales in several channels between two synchronization cycles
How do you find the cause of a discrepancy?
- decide which system holds the authoritative figure and which number goes to the store, total or available stock
- compare a few specific products in both systems and check how they are linked
- read the integration logs from the last few days for errors and gaps
- check that every store order has a matching document in the ERP
- once it is fixed, turn on error notifications so the next interruption does not go unnoticed
Frequently asked questions
Subiekt GT does not synchronize stock with the store: what should you do?
First check whether the integration is running at all: whether the computer or server with Subiekt is switched on, whether the synchronization job starts and what it writes to the logs. If it runs but stock levels do not change, the usual causes are a missing product link or the wrong warehouse. KCD Studio diagnoses integrations like this. See details
How does price synchronization between Subiekt and a store work?
It works like stock. The integration reads a chosen price level from Subiekt and writes it to the store. You decide which price list is the source, what happens to promotions set in the store and how often prices are updated.
